How much custom software costs and what it depends on

· Business · 1 min read

“How much does it cost?” is the first question and the hardest to answer without context. There is no single price, but some factors repeat in every project.

What moves the price most

  • Scope. How many modules, screens and business rules it has.
  • Integrations. Every external connection (payment gateway, WhatsApp, electronic invoicing, a CRM) adds design, testing and maintenance.
  • Roles and permissions. A system where everyone sees the same thing is very different from one with several profiles and an audit trail.
  • Volume and performance. Thousands of records per day change the architecture.
  • Design. A custom interface costs more than one assembled from components that already exist.
  • Data migration. Bringing information over from spreadsheets or another system almost always takes more than expected.

How to get a realistic quote

  1. Describe the problem, not just the solution: what is done today and where it hurts.
  2. List the people who will use the system and what each one needs.
  3. Say which systems it has to connect to.
  4. Share examples of documents, reports or screens you like.
  5. Define what is essential for the first version.

Start with a first version

It is almost always better to launch a first version with the essentials, use it and adjust with real data. That way you invest where there is actual return.
